PRIMARY FUNCTION:
This position is responsible for maintaining visibility of all emergency backorders to Caterpillar in order to increase customer service percentage as established by Management, reconcile freight charges to maximize profits, and work with Caterpillar to find solutions to part sourcing issues.
ESSENTIAL DUTIES:
Backorder Monitor / Expedite = 75-80%
- Maintain all CAT emergency backorders
- Follow up on all backordered parts updates through the PartsVIZ portal
- Monitor a running list of all pressing backorders from the Service Department
- Escalating all necessary Down & Emergency orders to appropriate Caterpillar escalation contacts
- Creating Caterpillar Purchase Orders when necessary for orders that are cancelled, lost in shipping, or other scenarios that would require a new purchase order
- Override any necessary order errors and coordinate with parts counter & service to confirm these orders are accurate
- Collaborate with third party vendors for sourcing parts outside of Caterpillar when necessary
- Accurately communicate with Technicians, Managers, and other internal contacts about the status of orders
- Work with all branch locations and warehouses on questions around receiving status
- Communicating with logistics companies to validate shipping confirmations and invoice amounts
- Making freight charge adjustments on CAT backordered parts when necessary
- Knowledge of Inventory Control Analyst’s functions
IC Analyst Backup = 20-25%
- Maintains established inventory levels and customer service objectives through daily analysis and review of “Suggested Order Report” for CAT products and non-CAT products
- Determines the items to be stocked and quantities of each based on history, machine population, cost of items and new machines
- Evaluates and recommends adjustment to system generated parts inventory levels
- Maintains daily contact with branches to resolve inventory discrepancies and shipping order discrepancies
- Follows up with branches daily to be sure stock is received
- Advises supervisor on any inventory problem areas
MINIMUM REQUIREMENTS:
Education:
A high school graduate with four years computerized inventory control experience or a two-year college graduate with two years of computerized inventory control experience or four-year college degree in math, business, logistics or related area.

Must be able to clearly communicate in person and by phone with customers and work in seated position for long extended periods with a PC and keyboard.
Other:
Must have advanced intermediate in PC software, preferably MS Excel, MS Access, and MS Word.
